November 2023 Enhancements


TroopWebHost Mobile App 1.8.3

Version 1.8.3 of the TroopWebHost Mobile App is now available for free on the Apple App Store and Google Play Store.  This version fixes a problem with the background refresh process.

If you keep the TroopWebHost Mobile App running in the background on your device, it will periodically attempt to refresh its data automatically.  Version 1.8.3 corrects a problem with the background refresh which could cause gaps in the data synchronization.  As a result, some users were not receiving all of the latest data from the server.

You can restore all of your data from the server using the Reload Data function.  This is NOT the same as the Refresh Data button on the Home page, which performs an "incremental update", pulling just the most recent changes from the server.

To access the Reload Data function, press the cog icon in the upper right corner of the Home page. 


This will take you to the General Settings page.

Press the Reload Data button to clear the data from your device and download a new copy of all data from the server.

If you use the Mobile App to access more than one TroopWebHost site, you will need to do this on each site.

This should only be necessary once.  Going forward, the incremental refreshes should keep you up to date.


This version also fixes a problem with text messaging from the Mobile App on an iPhone.  After a recent iOS upgrade the Text icon stopped responding.  We were able to restore this functionality in version 1.8.3.

The Text icon, circled above, will open the default SMS messaging app on your device and initiate a message to this person.




Upload Scoutbook Events

Scouting units migrating from Scoutbook can now move their calendar to TroopWebHost.  You'll need to use the Feature Assistant Extension for Scoutbook to export the events from your Scoutbook calendar to a CSV file.   You can find detailed instructions here.

TroopWebHost users will find this new function at Calendar → Upload Events → Upload Scoutbook Events.  Cub Scout users will find it at Events → Upload Events → Upload Scoutbook Events

This function does NOT transfer the participants for each event.

If it is not already present, it will create an event type "Imported Event", which it will assign to all of the events it creates.  Once the upload is complete, you may want to change the event type for each of these events to something more appropriate.



View Advancement → Awards

This feature does not apply to Cub Scout and Girl Scout sites.

The View Advancement page allows you to drill down into any aspect of advancement.  There are two new pages for viewing Awards:  (1) Award Summary Level, and (2) Award Status by Scout.

Click Award Summary to view a list of all awards offered by your unit.


This will take you to a page that shows the number of scouts in progress, completed, and not started, for each award.


Click the Scouts button for any award to see the names of the scouts who are in progress, completed, or not started, on this badge.


One of the great features of the View Advancement function is being able to see who has not yet started any given merit badge.  You can now do that for Awards as well.



My Scouts → Fundraisers

This feature was already present in the Cub Scout and Girl Scout sites.

The My Scouts page used to allow you to print your scouts' orders for a current fundraiser.  You can now see much more detail about their fundraiser activity.


Click the Fundraisers button to view that scout's sales statistics and individual orders.  You can still print their order report.



Post ACH Payments Manually

We announced Square ACH Payments over a year ago.  It has become a very popular feature, especially for large payments, due to the low transaction fees.

ACH payments take three to four business days to complete.  ACH transactions are not visible in your Square account until they have completed.  At the time when the money is transferred into your Square account, Square sends an electronic notification to our server.  We use this information to generate the deposit transaction on your site.

This works very well 99% of the time.  But we have seen some cases where, even though the money transferred successfully, we never received a notification.

When this happens, you need to post the payment manually.  To make this easier, we've added a function to the On-Line Payment History page.

Begin by clicking the View button on the payment you need to post.


This shows you the detail for this payment.  If this is an ACH payment and the status is "Pending", you will see a Post This Payment button.  You will not see this button for any other type of payment or for ACH transactions not in the "Pending" status.


Click Post This Payment to go to the confirmation page.

Do not proceed any further unless you are absolutely sure that you have received this payment in your Square account.  Log on to your Square account to confirm that this specific payment came through.

If you are certain the payment has posted to your Square account, click the Post This Payment Which I Have Verified As Completed button to complete this process.  This will change the status of this on-line payment to "Completed", and it will add the appropriate monetary transaction(s) to the Individual Transactions page.



Auto-Charge Security

Last month we introduced the ability to automatically charge participants when they sign up for an event.  To enable this feature, we added several fields to the Event detail page where you can enter the amount to charge scouts, adults, and guests.


These fields are now protected by security.  You must be authorized for one of the following security tasks to enter or update the amount to be charged to scouts, adults, or guests:

Other users may be able to view these amounts, but will no longer be able to modify them.
