June 2023 Enhancements

Event Compliance Report

This feature is not applicable to Cub Scout and Girl Scout sites.

In last month's newsletter we announced ways to track which events require a leader with Hazardous Weather training, a new way to track which adults are BSA registered, and a way to track which leadership positions are considered "BSA Fee Paid" positions.

This month we introduce a new report that lets you use this information to manage compliance issues on events that are scheduled for the next three months.

To generate this report, please open your main menu to Calendar → Event Reports → Event Compliance.

This report only shows the members who have signed up for each upcoming event for whom there may be one or more compliance issues.  It will only include scouts whose medical forms are missing or not up to date for the length of an overnight event.

Adults may appear on this report for any of the following reasons:

It does not include events where members are signed up for shifts.

This report is intended to help you spot issues with medical forms, training, and BSA registration before the event occurs.

Overwrite Award Dates

This feature is not applicable to Cub Scout and Girl Scout sites.

The Set Award Date page allows you to set the Date Awarded, the Court of Honor Date, or the Date Submitted to Council for a group of ranks, badges, and awards, based on a number of criteria.

Until now, it ignored any record where the target date already contained a value.  So if a rank already showed a Court of Honor date of 2/16/2023, this program couldn't be used to set it to a different value.

A new checkbox gives you this power, as shown here:

Put a checkmark in this box to apply this change to all ranks, badges, and awards that meet the selection criteria, even if they already have a value in the target field.

View Non-Participants From Calendar

Users who are authorized for a role that is authorized for "Maintain Events" or "View Non-Participants On Calendar Detail Page" will now see two new grids at the bottom of the page when they select an upcoming event from the calendar, if that event allows users to sign up.

The first grid shows all members who responded NO to this event.  The second grid shows those who have not responded, or set their status to "Maybe".

Guest Count on Signup Change Email

Last year we announced the ability to generate daily emails to event leaders showing who had recently signed up for or withdrew from an event.

That email shows the number of scouts and adults who are at each sign-up status: yes, no, or undecided.

As shown below, the email now also shows the number of guests, if any of the participants have entered a number in the "Guests" box when they signed up.
