Troop Library and Equipment Inventory

We've added some great new features to TroopWebHost this month.

But first we'd like to thank the following troops for joining the TroopWebHost family.

Photo Gallery Can Be Made Private

Most troops like to display photos of their activities on their public web sites as a way to encourage other boys to join the fun.

But some parents are uncomfortable with this approach, and a few troops have asked us to prevent the photo gallery from being viewed until after after they've logged in.

I am happy to report that we are now able to offer that option.

Please contact me if you'd like the Photo Gallery removed from your public site.

Manage Troop Inventory

There are two new user roles that you can assign to selected members of your troop:
  • The Librarian role manages the troop's library materials.
  • The Troop Inventory role manages the troop's camping equipment.
Both of these user roles have the ability to add records to the troop inventory of library materials and camping equipment.

Select Inventory from the top menu, then Maintain Troop Inventory.

Then click on the Add a New Item button to start entering your troop's inventory.

The Librarian and the Troop Inventory leader each have similar functions that allow materials to be checked out to individual troop members and then check them back in when they are returned.

Select either Library Check-in / Check-out or Equipment Check-in / Check-out from the Inventory menu to get started.

Either of these functions begins by displaying all of the active members of the troop. Next to each member's name is a button labeled Check-in / Check-out.

Click on that button to record the materials this member has checked out, and to check items back in as they are returned.
Check-in and Check-out MaterialsCheck-in and Check-out Materials Once you've selected a troop member, the system will display two lists for that member.

The first list shows all of the items this member currently has checked out. Click on the checkbox next to any items they have returned.

The second list shows all of the items that are not currently checked out to anyone. Click on the checkbox next to any items that this member is checking out at this time.

Click the Save & Exit button to save this information in your database.

Members Can See What They've Checked Out

Every member of the troop can view the library materials and camping equipment they've checked out by going to two new pages on the My Stuff menu:
  • My Library Materials
  • My Troop Equipment
This allows your scouts to know the items for which they are responsible.
