November 2022 Enhancements


Upcoming Server Upgrades

Over the next two months we plan to replace both of our servers with new, higher capacity systems.

We will begin with our web server, which will be replaced around the end of November.  We plan to replace the database server in late December.

We expect there will be some downtime with each transition, but we will provide advance notice and do our best to keep it to a minimum.

The current servers are both over five years old, so this is primarily a matter of preventative maintenance, although we do hope to see some improvement in system performance as a result.



Square ACH Fee Cap

Square ACH payments are an even better deal than we thought!

We announced support for ACH direct bank transfers in our summer newsletter.  Square only charges 1% for ACH payments, with a minimum charge of $1.

We recently discovered that, for payments over $500, the fee remains a flat $5.00.  So if you make a payment of $750, as shown below, the fee is still only $5.00!

Our software now takes this into account when estimating the fee for ACH payments.



Spouse Access To Account

This feature is not applicable to Cub Scout and Girl Scout sites.

The adult membership record has a new checkbox to indicate whether you want to allow your information to be updated by other adults who are linked to your scout.  While the caption says "Allow spouse..." it really applies to any other adult who is linked to any of your scouts.

This option is turned on by default, but should be turned off for any adults who wish to keep their information private from former spouses.  Note that this option should be turned off for both former spouses to prevent either from accessing the other's information.

This setting affects:

The automated newsletter will show your sign-up status for upcoming events, regardless of whether spouse access has been allowed.  But it will not show your account balance, expired medical records, or checked out inventory if spouse access has been denied.



Disable Event Locations

There is a new checkbox on event locations that lets you disable that location.  Existing references to that location will not be affected, but a disabled location will no longer show up on the choice list for new events.



Service Report Includes Other Activity

This feature is not applicable to Cub Scout and Girl Scout sites.

The Service Hours By Person report now includes credit for other activity, i.e. service hours not associated with a troop event.  Those hours show up as type "Other" on the report.

It also now accurately reports hours earned on shifts at community service events.  Those hours will show up as type "Shift".



Current Balance in On-Line Payments

When you select a family member to be the recipient of an on-line payment, the drop down list now shows each person's current total balance.



New Scout Entry Matches BSA Form

The order of the fields on the New Scout page now more closely follows the order of the BSA Youth Application form.  This should make it easier for units who use this form to add new scouts and their parents to the roster.

Additional fields to collect information not on the BSA form appear lower on the page.

The following example is from TroopWebHostCS, but similar changes were made for TroopWebHost.



Sea Scout Ships

This feature is not applicable to Cub Scout and Girl Scout sites.

You may now configure one or more Sea Scout ships by going to Membership → Patrols, Crews & Ships → Sea Scout Ships.  You may choose to create one ship to represent the Sea Scout program, or multiple ships as appropriate.

Once you configure the Sea Scout ships, you may assign members to their ship from the membership page.

This allows you to explicitly indicate that this member participates in the Sea Scout program.

Each scout or adult may be assigned to any or all of the following:



Update All . . . Ships

This feature is not applicable to Cub Scout and Girl Scout sites.

A new page on the Update All submenu now lets you assign each member of your unit to a Sea Scout ship.



Widget for Sea Scout Ships

This feature is not applicable to Cub Scout and Girl Scout sites.

If your unit offers the Sea Scout program, you may want to update your Membership Hub to add the new "Data Window - Membership - Ships" widget.  This widget displays a list of your Sea Scout ships, with the number of members in each.



Other New Widgets

This feature is not applicable to Cub Scout and Girl Scout sites.

There are two new widgets you may want to consider adding to your site:

These new widgets may be added to any custom page on your site.  They can be made visible to the public, or kept private, as you see appropriate.



Reconciliation Status

The Troop Account detail page (aka "Group Account" for Cub Scout and Girl Scout sites) now shows the reconciliation dates for each transaction.  There are two new columns, as shown below:  Reconcile Debit and Reconcile Credit.



Mobile App Version 1.7.8

A new version of the TroopWebHost Mobile App is now available for free at the Apple App Store and Google Play Store.  This version recognizes the new spouse access flag discussed earlier.  It also incorporates additional diagnostics for troubleshooting.
